Meet Amara is a product of HelpfulCo Innovations Ltd. This page gives customers, procurement teams and due-diligence reviewers a concise overview of the current public security, privacy and AI-assurance position. It should be read with our Privacy Policy, Data Processing information and AI Disclaimer.
Data roles
When Amara handles enquiries for a customer business, that business will normally decide why the enquiry information is needed and will normally act as the data controller. HelpfulCo Innovations Ltd normally processes that information to provide the Amara service. HelpfulCo may act as a controller for its own account administration, security, billing, support and service-management activities.
Access and security controls
Amara uses technical and organisational safeguards intended to protect information. Current public safeguards include restricted access controls, encrypted connections, authenticated customer workspaces and service monitoring.
Lead and CRM information should be available only to authorised users of the relevant customer workspace and to authorised HelpfulCo personnel or service providers where access is necessary to operate, secure or support the service. No online service can guarantee absolute security, and controls are reviewed as the service develops.
Information and retention
Amara may process contact details, enquiry content, booking or service details and information entered into the assistant. AI Receptionist setups may additionally process caller numbers, call metadata, summaries, transcripts and recordings depending on the features enabled.
There is no single retention period suitable for every customer or record. Information should be kept only for as long as it is reasonably needed for the purpose for which it was collected, taking account of enquiry handling, customer service, account requirements, security, disputes, accounting and legal obligations. Information no longer required should be deleted or anonymised where appropriate.
Service providers and international processing
HelpfulCo uses service providers where necessary for functions such as hosting and databases, AI processing, communications and telephony, email delivery, payments, security and technical support. Providers should receive only the information needed for the service they supply and be subject to appropriate contractual and security requirements.
Some technology suppliers may process information outside the United Kingdom. Where UK data-protection law treats this as a restricted transfer, an applicable transfer safeguard must be used. Further information about relevant suppliers and safeguards can be requested from HelpfulCo.
AI boundaries
Amara is designed as an assistance and workflow service. It can answer approved common questions, capture enquiries and prepare records for follow-up. It is not presented as a system for making decisions that produce legal or similarly significant effects about individuals solely by automated processing.
For medical, veterinary, legal, financial, safeguarding, emergency and other regulated or high-risk matters, Amara should not replace professional advice or human judgement. The intended role is to provide approved general information where appropriate, capture and route enquiries, and direct urgent matters to the relevant human or service.
Customer control
Customer businesses remain responsible for the accuracy of the business information they provide, for reviewing their enquiries and for deciding how Amara should be used in their own legal and operational context. Important business-information changes can require owner approval where that workflow is enabled.
